I Said "Never Again" to Organising Teacher Gift Collections... Until This Year

Looking for an easier way to organise a teacher gift collection? If you're the parent who always ends up collecting the money, chasing payments and buying the gifts, you'll know it's rarely as simple as it sounds. After years of organising collections for teachers, colleagues and friends, I finally found a way to make the process much less stressful. Here's my honest experience of using GiftRound for our Year 6 teacher gifts.

Why I almost stopped organising teacher gift collections

If you've ever been the person who organises a collection for a teacher, a colleague leaving work or a friend's big birthday, you'll know it's rarely as simple as "collect some money and buy a gift." I've organised more collections than I can count over the years. During my corporate career, I was often the one sorting leaving presents, wedding gifts and baby collections. More recently, it's been end-of-term teacher gift collections and gifts for friends. And if I'm honest, there have been plenty of occasions when I've declared, "Never again!" afterwards. Not because I don't love celebrating people – I've literally made a business out of helping people create thoughtful gifting experiences. But the admin? Chasing payments, keeping track of who has contributed, answering messages, working out how much you've collected, deciding on the gifts themselves and finally wrapping them all (OK, that bit I do enjoy!)... it can easily take the joy out of the whole experience.

This year my youngest is leaving primary school. Group teacher gift collections aren't really a 'thing' in secondary school, so I knew this would probably be the last one. Time ticked away and no one else had volunteered. Did I dare put my hand up again?

Discovering a different way to organise a teacher gift collection

I'm always listening to podcasts to help me in business and life! I have so many bookmarked there's always something new to tune and one day, up popped Claire Thompson COO of GiftRound being interviewed on the From Overlooked to Fully Booked marketing podcast. I knew straight away that I wanted to learn more about what they had created at GiftRound so I invited her to join me on my podcast, The Greener Gifting Gang.

By the end of our conversation, I knew exactly how I wanted to organise our class's teacher gift collection and I decided to offer my services to our class and give GiftRound a try.

Organising gifts for six members of staff

This wasn't just a collection for one class teacher.

We wanted to thank six members of staff who had supported our children throughout Year 6, including teachers and teaching assistants. Normally, I'd have reached for a spreadsheet and braced myself for several evenings of admin. Instead, I created a GiftRound collection.

Within a few minutes I had a link to share in our class WhatsApp group, and parents could contribute whenever it suited them, right up until the deadline I'd set.

How GiftRound made organising our teacher gift collection easier

One of the biggest differences for me was what I didn't have to do.

• I wasn't checking my bank account several times a day.

• I wasn't matching payments to names.

• I wasn't replying to messages asking, "Have I paid yet?"

• I wasn't trying to remember who I'd already reminded.

• I wasn't updating a spreadsheet every evening.

Everything was in one place, and I could simply see how the collection was progressing.

All I had to do was pop a reminder into the WhatsApp group a couple of times with the collection link.

As an organiser, that was reassuring to hear because the experience wasn't just easier for me, it was simpler for everyone involved.

How we organised our teacher gift collection

The whole process was surprisingly straightforward:

1. I created a GiftRound collection.

2. I shared the link in our class WhatsApp group.

3. Parents contributed online whenever it suited them.

4. I sent a couple of reminder messages before the deadline.

5. Once the collection closed, I split the money between six members of staff.

6. Each recipient received their own flexible digital gift card and could choose how to spend it.

Splitting the collection between six teachers and support staff

One feature I particularly appreciated was how easy it was to divide the collection.

GiftRound lets you split the money equally or choose different amounts for different recipients. In our case, we allocated different amounts depending on each person's role and this took just a few clicks.

Giving teachers the freedom to choose their own gift

As someone who's passionate about thoughtful gifting, this was the part I was most excited about. Once the collection closed, I converted each person's share into a flexible GiftRound gift card.

Each recipient could then choose gift cards from a huge range of retailers, or even split their balance across several brands. There were well-known names like John Lewis and M&S alongside restaurants, travel brands, garden centres, bookshops and independents like Not On The High Street.

I really liked this approach.

After all, six people don't all have the same tastes. One person might enjoy books, another might choose a meal out, while someone else might put it towards something for their home.

Giving people the freedom to choose something they'll genuinely enjoy felt far more thoughtful than trying to guess what everyone would like.

If you prefer to buy a physical gift yourself, that's an option too. You can convert the collection into a gift card and use it to buy flowers or another gift before presenting it. For our class, though, letting each member of staff choose their own treat felt like the right decision.

Another thing worth mentioning is that every penny people contributed stayed in the collection nothing was deducted from the amount we raised.

Keeping thoughtfulness at the heart of the gift

One thing Claire said during our podcast conversation really stayed with me. Technology should remove the stress of organising a group gift without removing the thoughtfulness behind it.

GiftRound manages to do exactly that.

Each parent had the option to leave a personal message from them or their child and even upload a photo. At the end of the collection, these could be turned into a beautifully presented PDF card that I could print (or email).

That meant every member of staff still received something personal to read alongside their gift.

Would I use GiftRound again?

Without hesitation, yes.

Not because it magically makes organising a gift collection effortless. Someone still needs to set the deadline, encourage contributions and communicate with parents.

But it removes so much of the admin that usually makes me swear I'll never volunteer again.

I can also see it being brilliant for workplace leaving gifts, retirement presents, baby showers, weddings, milestone birthdays and any occasion where one person usually ends up doing all the admin.
